Sound Familiar?

Most small businesses don't have an AI problem. They have a "nobody has time to fix this" problem.

The Owner Is the Bottleneck

Quotes, approvals, scheduling, and follow-ups all route through one or two people. Growth is capped by their calendar, not by demand.

Your Systems Don't Talk

The same customer gets typed into your inbox, your CRM, your invoicing tool, and a spreadsheet. Every handoff is a chance to drop something.

Leads Go Cold

Inquiries arrive after hours and sit until someone gets to them. The business that answered first already won the job.

You Tried an AI Tool and It Fizzled

A chatbot got bolted on, nobody wired it to your real data, and it quietly stopped getting used. The tool wasn't the problem โ€” the integration was.

What We Automate

We start where the hours are. These are the workflows that pay for themselves fastest.

๐Ÿ“ฅ

Lead Capture & Instant Response

Inbound email, web forms, and voicemail triaged and answered in minutes โ€” qualified, routed, and logged before you open your laptop

๐Ÿ“

Quotes, Proposals & Contracts

Draft estimates and proposals from your own pricing rules and past jobs, so a first draft is waiting for your review instead of your evening

๐Ÿ’ต

Invoicing & Collections Follow-Up

Invoices generated from completed work and polite, persistent payment reminders that go out on schedule without anyone remembering to send them

๐Ÿงพ

Receipts, Bills & Document Processing

Line items pulled from PDFs, photos, and email attachments, coded and pushed into your bookkeeping system ready for review

๐Ÿ”

CRM Hygiene & Follow-Up Sequences

Records kept current automatically, stale deals surfaced, and follow-ups drafted in your voice so nothing sits untouched for three weeks

๐Ÿ“…

Scheduling & Dispatch

Bookings, confirmations, reschedules, and reminders handled end to end โ€” including the back-and-forth that used to take six emails

๐Ÿ’ฌ

Customer Support Deflection

An assistant trained on your actual policies, pricing, and product docs that answers the routine questions and escalates the ones that matter

๐Ÿ“š

Internal Knowledge Assistant

One place your team can ask "how do we handle this?" and get the right answer from your SOPs instead of interrupting whoever knows

๐Ÿ“Š

Owner Reporting & Business Pulse

A plain-English weekly readout of sales, cash, jobs, and workload pulled from every system you run โ€” delivered without anyone building it

How It Works

No six-month discovery phase. You should see something working in your business inside the first month.

1

Fit Call โ€” 30 Minutes, Free

We talk about where your week actually goes and what you'd stop doing if you could. If AI isn't the right answer for your situation, we'll tell you that on the call and save you the money.

  • What's eating the most hours right now
  • Which tools and systems you already run
  • An honest read on whether this is worth doing
2

Automation Audit

We map how work really moves through your business โ€” not how the org chart says it does โ€” and rank every automation opportunity by hours saved against effort to build. You leave with a prioritized plan whether or not you build it with us.

  • Workflow map of your core operations
  • Ranked opportunity list with time and cost estimates
  • Tool and data readiness assessment
  • A 90-day roadmap you own outright
3

Build Sprint

We build the top-ranked automations directly into the tools you already use โ€” your inbox, your CRM, your accounting software โ€” and put them in front of your team in weeks. You see working software early and often, not a status deck.

  • Working automations shipped into live systems
  • Integration with the tools you already pay for
  • Human review built in wherever judgment matters
  • Hands-on training for the people who'll use it
4

Run, Measure, Expand

Automations drift when your business changes. We monitor what we built, report on hours and dollars actually saved, tune what's underperforming, and add the next workflow when you're ready โ€” or hand it all over and step back.

  • Monitoring and error handling
  • Monthly report on time and cost saved
  • Tuning as your business and volume change
  • Full handover and documentation whenever you want it

Ways to Work Together

Start small and fixed-fee. Expand only when the first engagement has paid for itself.

Talk About a Retainer

Not sure which one fits?

Almost everyone should start with the audit. It's the cheapest way to find out whether the rest is worth doing โ€” and you keep the roadmap either way. Book a fit call and we'll point you at the right starting place.

Why Vorentoe

We've spent years shipping AI systems into environments where "move fast and break things" is not an option. Your business gets the same discipline.

Federal-Grade Habits, Small-Business Scale

Access controls, audit trails, and data handling practices built for agencies operating under FISMA and NIST. Your customer data gets treated the same way.

We Run Our Own Software

We build and operate our own products and internal systems. We're not reselling someone else's platform โ€” we live with the same decisions we recommend to you.

No Lock-In, By Design

Everything runs on your accounts and your API keys, with documentation written for whoever comes next. If you want to take it in-house, you can โ€” that's the point.

Plain English, Always

No model names thrown around to sound impressive. We'll tell you what it does, what it costs to run, and what it can't do yet.

Measured in Hours, Not Hype

We set a baseline before we build and report against it after. If an automation isn't saving real time, we'd rather turn it off than keep billing for it.

You Talk to the People Doing the Work

No account manager relaying messages to an offshore team. Small business flexibility, senior people, direct line.

Straight Answers

Is my business too small for this?

If you have at least a few people doing repetitive work every week, there's usually something worth automating. The audit is deliberately priced so you can find out without committing to a build. If we don't think there's enough there, we'll say so.

Do I need my data organized first?

No. Messy data is the normal starting condition, and cleaning it up is part of the work. You don't need a data warehouse or a dedicated IT person to begin.

Is this going to replace my staff?

That's not what we're selling. In practice this pulls the tedious work off people who are already stretched thin so they can do the parts that actually need a human. Most of our clients are trying to grow without adding headcount, not shrink.

What tools do you work with?

The common small business stack โ€” Google Workspace and Microsoft 365, QuickBooks and Xero, HubSpot and other CRMs, Shopify, Slack, Stripe, scheduling and field service tools โ€” plus anything with an API. If your system is unusual or homegrown, we'll tell you in the audit what it takes to connect it.

Is my business data used to train AI models?

No. We build on enterprise API tiers configured so your data isn't used for model training, and we'll walk you through exactly where your data goes and how long it's retained before anything gets connected.

Who owns what you build?

You do. The automations run on your accounts, the code and documentation are yours, and there's no license that stops working if you stop paying us.

What if the AI gets something wrong?

Anything with real consequences โ€” money going out, contracts, customer commitments โ€” gets a human approval step by default. We design for the assumption that the model will occasionally be wrong, because it will.

How fast can we start?

Usually within a couple of weeks of the fit call. Audits typically run about two weeks, and build sprints four to six. Reach out and we'll give you real dates.
